Privacy declaration

This privacy declaration of Department of Economy, Science and Innovation describes the way we collect, use and thereafter may share your personal data. Your personal data will be treated in accordance with the policy below.

Confidential processing of personal data 

The Department of Economy, Science and Innovation recognises the importance of data protection and privacy of personal data of its customers and website visitors. For this reason, it will treat the personal data of the parties concerned with due diligence. It explicitly confirms that all personal data will be processed in accordance with Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation, abbreviated as GDPR), as far as possible and desirable.

The personal data which you have provided to the Department of Economy, Science and Innovation are stored in a secured environment which is not accessible to the public. The Department of Economy, Science and Innovation, based in the Ellips building at Koning Albert II-laan 35, bus 10, 1030 Brussels, is in charge of processing this data. 

The Department recognises that the protection of personal data is an essential element of GDPR compliance. If it is impossible to fully guarantee security, the Department will take appropriate technical and organisational measures to protect personal data.

Processing purpose 

The personal data will be used exclusively to contact you with regard to matters for which you have registered and to guarantee the best possible service. You can communicate such data during the following actions:

  • When you subscribe to our newsletter, we collect your name, first name, organisation and email address in order to be able to send our newsletter to the correct email address.
  • When you register for one of our events, we collect (depending on the event) your name, first name, email address, telephone number, function, organization, expertise, solutions or technologies to offer, sector(s)/domains in which you are active and possibly your dietary requirements so that we can put you on the list of participants, provide the right lunch/dinner if applicable, and keep you informed about the details of the event. Subject to your consent, we may contact you regarding other activities organised by the Department of Economy, Science and Innovation.
  • If you have a question or a complaint about one of our services or products, we collect your name, first name, email address, address and telephone number in order to be able to reply to your question or complaint.
  • When your data is included in the Research Portal we collect your name, first name, email address, gender, nationality, professional telephone number, professional email address, professional address, ORC ID, LinkedIn profile (optional), research expertise (optional), research techniques (optional), target group expertise (optional), organisation you are associated with, scientific discipline and free keywords to describe the research expertise (optional). 
  • When you participate in a call organised by the Department of Economy, Science and Innovation, we collect your name, first name, email address and telephone number, organization, address, person in charge, function and name of contact person. We process these personal data in order to keep you informed of the progress of the call and other activities/ calls/ trainings organised by the Department of Economy, Science and Innovation.
  • When we purchase services and/or products from you, we collect personal data such as your name, first name, email address, address, telephone number, KBO number, if this is necessary to ensure a smooth financial settlement.

The personal data which you provide are entered in our database for purposes of:

  • improving the quality of our services and information
  • keeping you abreast of new developments in our policy area
  • informing you about the events and study days we organise
  • complying with our statutory duties and powers
  • statistical purposes

The aforementioned processing purposes are justified by a legal obligation on the part of the Department of Economy, Science and Innovation to process personal data.

If you no longer wish to receive any information, please inform the said Department by sending an e-mail or a letter to the Department of Economy, Science and Innovation, Koning Albert II-laan 35, bus 10, 1030 Brussel. 

Consent 

By providing your personal data you give the Department explicit consent to process your personal data for the purposes stated above. 

The personal data will under no circumstances be transmitted to third parties or be processed for other purposes. If the Department of Economy, Science and Innovation wishes to do so after all, it will first ask your explicit consent for this.

Right to access, rectification and erasure of personal data 

You have the possibility to exercise the rights described in the GDPR at all times.

Right to information

You have the right to access all collected personal data (including processing purposes, categories of personal data, certain retention period).

Right to rectification

You have the right to have inaccurate or incomplete personal data rectified or completed.

Right to erasure ("Right to be forgotten")

If you want your personal data to be erased, you can contact the Department of Economy, Science and Innovation at dpo.ewi@vlaanderen.be with the simple request to erase your personal data.

Right to object

If you no longer wish to be informed of any possible updates/news releases/events, you are entitled to object by sending an e-mail to dpo.ewi@vlaanderen.be. Please note that the right to object does not apply in full if this personal data is necessary for the implementation of an agreement between the Department of Economy, Science and Innovation and you/your organisation. (E.g.: for invoicing delivered goods or services, …).

Right to restriction of processing

In certain cases, you are entitled to restrict the processing of your personal data.

Right to data portability

You have the right to receive the personal data you communicated to the Department of Economy, Science and Innovation in a structured, commonly used legible form and/or to transmit these data to another controller.

Right to lodge a complaint 

If at any time you believe that the Department of Economy, Science and Innovation is infringing your privacy, you have the right to lodge a complaint complaint to the competent data protection authority.
